Document Characteristics


Document Supported Application Versions

The following application versions are supported for document uploads. While documents created using an application version other than those listed here may upload successfully, their use may cause unwanted results or errors in your mailing. USCertifiedLetters will not be held accountable or accept liability for errors associated with the use of an unsupported application version.

  • Microsoft® Word 6, 95, 97, or 2000
  • Adobe Acrobat PDF

Document Page Size and Count

  • You may upload letter-size documents of 30 or fewer pages.
  • All pages in a single document must be portrait and have the same page size.

Document Merge Data

  • You can not create merge fields in a PDF document.  Only Word Format is supported.
  • There can be no filters on the data list of a merge document.
  • Merge field names in a document should exactly match the corresponding merge data names in a mail list.
  • TEST YOUR MERGE PRIOR TO UPLOADING, AND REVIEW EACH RESULTING DOCUMENT.
  • Variations in your merge data may greatly affect the pagination of any document. The following identifies two ways that this may happen, although there are several.
    • If you do not take into account the greatest number of characters for the merge data elements when composing your document, the page length of your document may change when the merge is performed.
    • If you create an address merge field in your document for which you do not have associated address merge data in all addresses in your mail list (e.g., a second address line), those addresses will print using fewer lines in your document.
  • Word Documents:  If you are uploading a merge document with graphics and/or text boxes, de-select the "Move object with text" option for each graphic/text box in your document.  After selecting a graphic/text box:  from the toolbar menu, select Format, followed by Picture or Text Box, depending on the object selected.  (The format menu is also available by right-clicking after selecting the object.)  Select the Position tab.  De-select the Move object with text option so that the check box is empty.  In some cases, the selection of this option does not affect your document upload.  Be sure to view your document prior to placing your order.
  • When you create merge fields in a document using your application merge tool, the application embeds code in your document. The code displays in the form of one or more text phrases that represent your merge fields. You may NOT make manual edits to this text because any changes will contradict the underlying merge code and corrupt the merge process. If you need to edit a merge field, you must delete and re-create it using the merge feature provided by your application.
    Document Margins
  • The minimum size for left, top, and bottom margins of a document is 0.50 inch each.
  • The minimum size for the right margin of a document is 0.50 inch.
  • Your document name should not include the ampersand "&" symbol.  If so, please rename your file without the ampersand "&" sign.

Document Protection

  • Please do not upload password-protected documents, as they cannot be opened and processed by the system.
